How to Choose the Right Wedding Sound System
Your wedding day sound needs to cover three very different moments — the ceremony, cocktail hour, and reception — and each one has its own requirements for speakers, microphones, and backup gear. Here’s how to plan it properly so nothing gets left to chance.
📍 Ceremony Sound
The ceremony is the most unforgiving part of the day for audio — there’s no re-take if a mic cuts out during the vows.
- Scout the location first. Indoor or outdoor, note the available power source and how accessible it is for cable runs.
- Choose 1–2 speakers based on your guest count and whether the space is open-air or enclosed.
- Plan your microphones:
- A lapel mic for the officiant
- A handheld mic as backup or for readings
- A mic for the couple, if you want your vows amplified
- Test the wireless transmitter and receiver ahead of time, and add windscreens to any mic used outdoors.
- Set up a playback system (laptop or phone with your playlist ready) with an AUX or Bluetooth adapter, and confirm music cues with whoever is running sound.
- Schedule a sound check before guests arrive, and pack backup batteries, cables, and — if possible — a backup speaker or mic.
🍸 Cocktail Hour Sound
Cocktail hour is about ambiance, not volume.
- One speaker for ambient music is usually enough.
- Have a preloaded playlist or a DJ connection ready to go.
- Use a battery-powered speaker if there’s no convenient power source.
- Pre-set volume to low/medium — this is background music, not a dance floor.
🥂 Reception Sound
This is where things get technical, with a DJ or band, toasts, and dancing all sharing the same system.
- Confirm coordination with your DJ or band ahead of time, and have a backup system in case of failure.
- Set up a dedicated mic and stand for toasts.
- Confirm dance floor speaker positioning so sound is even across the space.
- Sync lighting with the sound system if it’s part of your package.
- Test and charge the MC mic before guests sit down for dinner.
🔌 Tech & Logistics
The details that keep everything running smoothly:
- Pack power cords, surge protectors, and extension cables.
- Use gaffer tape or cable covers to secure any wires guests might walk over.
- Confirm load-in/setup time and breakdown time with your planner or venue.
- Have a rain contingency plan — tents, speaker covers, etc. — for outdoor setups.
- Assign an on-site tech if you’re booking a full-service package.
- Send your insurance certificate to the venue in advance if it’s required.
