Room & Format
- How many attendees, and is the room a simple layout or a room divider setup?
- Is it a single speaker, a panel, or a Q&A format?
- Is there a projector or screen that needs audio routed through the system?
Microphones
- Lav or headset mic for the main presenter
- A handheld or two for Q&A from the audience
- Backup mic and batteries on hand
Playback & Presentation Audio
- Confirm whether video/slide audio routes through the PA or the laptop speakers
- Bring the correct adapter (HDMI, USB-C, AUX) and test it before doors open
Logistics
- Confirm load-in and teardown times with the venue
- Ask if an on-site tech is included or if it’s drop-off/pickup only
