Corporate Event Audio Checklist: What to Ask Your AV Rental Company

Corporate audio has different priorities than a party — clarity and reliability matter more than volume. Here’s what to confirm before your event.

Room & Format

  • How many attendees, and is the room a simple layout or a room divider setup?
  • Is it a single speaker, a panel, or a Q&A format?
  • Is there a projector or screen that needs audio routed through the system?

Microphones

  • Lav or headset mic for the main presenter
  • A handheld or two for Q&A from the audience
  • Backup mic and batteries on hand

Playback & Presentation Audio

  • Confirm whether video/slide audio routes through the PA or the laptop speakers
  • Bring the correct adapter (HDMI, USB-C, AUX) and test it before doors open

Logistics

  • Confirm load-in and teardown times with the venue
  • Ask if an on-site tech is included or if it’s drop-off/pickup only
  • Confirm power availability near the presentation area
